Attach scanned receipts to transactions

I would like to see the ability to attach a scanned receipt to a transaction and be able to look at the receipt and print it in the future if needed for return of an item to the store or if needed for warranty repairs.

    Hi All,

I'm adding this to my personal ToDo list. Right now, I'm in the middle of a much more involved project so I can't give a solid timeline, but I have started the process of hammering out exactly how we might implement this in Moneydance. In the meantime, Kevin's workaround is a fine option.

    So what's Kevin's workaround?

Kevin's workaround is described in post 13 of this discussion.

As well as ataching documents to a transaction, can they be attached to an account as well? For example, attaching a copy of a credit card statement to the credit card account, or a bank statement to the bank account.

I would love to see this feature and hope that it makes it into the next version of Moneydance.

when you do implement this feature please allow for two things:
    1) for multiple documents to be attached to a transaction;
    2) that the receipts/documents are stored directly in Moneydance and not somewhere else on your Mac

    thanks
    Mike

    Hi Mike,

    2) that the receipts/documents are stored directly in Moneydance and not somewhere else...

I think that this option needs to be carefully scrutinized. I for one would not be in favor of adding the addtional bloat of scanned images to my data file.

Although an undeniable convenience, I think that in a real world setting, looking up old receipts and cancelled checks would not be an everyday chore worthy of inclusion in the data file. Were the data file to become corrupted, scanned images could be permanently lost.

I've since expanded the workaround in post # 13 to include individual folders for each of my respective Accounts. This option also permits the user access to the images without first entering Moneydance.

An improvement upon the workaround would be if the user had the ability to link to a folder from within the 'Memo' field of each individual txn, this would add the convenience without adding surperfluous bulk to the data file.

    Stepping down from my soapbox...

If not in the core Monedance file, maybe a separate database file for images. It seems to make it easy to use for the normal user, you wouldn't want to force them to manage and back up folders of images. "Just drop it into Monedance and forget about it. When you need it, find the transaction and there it is." I think that would be the description of how to use it.

I think Kevin has some very valid points. I would support links to an outside folder holding scanned and downloaded images.

These are all valid points, and ease of use will definitely be balanced against bloat as we work out the specifics of this plan. We're testing a few options in house at the moment, but I don't believe we're at the public testing phase. When we are, Jessica will post here. Thanks for all of the input you've all provided us with, and for bearing with us as we implement this tool.

How about storing the images in a sub-folder directly under the MD data folder. That way, backing up the data folder (which we all do on a regular basis, right?) would also back up the images folder under it. MD itself could maintain an index to the images and, as part of it's housekeeping process, recheck the index against the physical files (in case any have been moved or deleted).

As a second part to this, add an expiry date for the attachments, one that can be modified by the user. For example, bank statements could be deleted after they are over 1 year old, cancelled checks after say 6 months. On the other hand, the receipt for a security deposit needs to be kept until that deposit is refunded, which could be several years later! As an item passes it's expiry date, it could be added to an action list for the user to review (as part of the housekeeping) where it could be earmarked for deletion or have its expiry date modified appropriately.

I like your program, currently using something else that allows attachments and it is quite handy.

With everyone trying to go green and paperless statements from credit card companies and banks. Seems to me you would want to have a central spot to put them and not have to search your hard drive or email for them.

Multiple images /documents is the way to go , if you have a receipt and maybe want to attach a manual or warranty information would be quite helpful.

When is the next release due out? And what can we look forward to?

We made the last major release just over a month ago. I am afraid that at this time I cannot make any promises about what the next release will contain.

There is a plan to implement the feature you inquired about but it is turning out to be more complicated then anticipated so there is no specific timeline on it.
Please let us know if you have any more questions.

We are working on this feature for the next version of Moneydance, which involves working out various design issues. At this point, we can't give a timeline for this feature's release, but it's definitely towards the top of our todo list.
