Balances don't match

Can someone help me get my checkbook ledger straighted out please?

Balance: $1,802.66
Cleared Balance: $3,132.36
Current Balance: $2,407.46
Ledger Balance: 3,132.36 02/01/2012
Available Balance: 4,899.51 02/01/2012

It all started a few weeks ago when MD did not download a $1,000 deposit. I entered it manually and cleared it. Probably the wrong thing to do. Ugh!

Anyway, how can I correct this quickly please?

    Has the $1,000.00 deposit finally get downloaded?

    Is your Network Preferences in Moneydance set to Automatically "Confirm" downloads?

    If so, then you might have a duplicate transaction in your ledger for a deposit in the sum of $1,000.00.

    Hi Bill,

    Without actually seeing a screenshot of your register, One can only speculate.

    Per your figures, your 'Cleared Balance' and your 'Ledger Balance' are a match, which is a very good start. What this means is that your 'Cleared Balance' in Moneydance matches the 'Cleared' [Ledger] balance at your bank.

    If you have any future txns in your register, then it is not uncommon for your 'Balance' to be different than your 'Cleared Balance' as those future txns would not be marked as 'Cleared' yet.

    Also, it is not uncommon for your 'Current Balance' to differ from either your 'Balance' or your 'Cleared Balance' should you have any txns in your register that are not marked as 'Cleared'.

    Judging by the difference in your 'Ledger Balance' vs. your 'Available Balance' you have made recent check deposits that have not yet cleared the bank. Is that correct?

    If any of the conditions that I suggested, apply, then there 'might not' be any problem for you to correct.

    There is a deposit that was made on Dec 30, 2011 in my BOA account that is not in MD. It was a transfer from a USAA savings account. I have done this previously with no problems, however, this time, MD did not record the transaction. Essentially, my checkbook ledger is $1000 short.

    How can I get this corrected?

    Hi Bob,
    The balance of the USAA savings account is correct?
    If so, then look for the tranfer txn in the register of the USAA account and make sure that the 'Category' field of that txn points to your BOA account.

    Hi Bob,
    One other thing comes to mind...
    Make sure that you have the 'All' filter applied to the BOA account. If you have the 'This Year' filter applied the txn might be hidden.

    Hi Bill,
    I can't really tell from your last post if your initial problem is resolved or not.
    Per my post # 5, is the 'Category' field of the $1000 tranfer txn in the USAA savings account pointing to your BOA account?

    Hi Kevin,

    sorry, my initial post may have been unclear. Let try again.

    1. On Dec 30th, I went to USAA.com (with my browser), logged into my account and initiated a $1000 transfer to my BOA checking account.

    2. Two days later, I logged into my BOA account (with my browser) and saw that the $1000 had been deposited.

    3. I ran MD, selected my checking account and then clicked on, Download Transactions.

    4. The $1000 deposit was not downloaded, nor has it been downloaded to this day.

    Hi Bill,

    Is the USAA account included in your Moneydance data file?

    Was the transfer txn ever downloaded to your USAA account?

    If it was entered manually into your USAA account, did you select your BOA account as the 'Category' of the transfer txn? Doing so, creates a debit in the USAA account and a credit in the BOA account.

    Is it possible that you have the 'Unconfirmed Transactions' split window applied and the txn is hidden?

    Look to the bottom of the register for a message 'X Unconfirmed Transactions' If you see such a message, grab that header with you mouse cursor and drag the header upwards to reveal any unconfirmed txns.

    You can toggle the 'Unconfrimed Transactions' split window on an off by clicking the small square in the upper right-hand corner, near the 'New Transactions' button.

    Hi Kevin,

    Yes, the USAA account is in my MD data file and it shows that the money was indeed deducted from USAA saving.

    No, I am not downloading the $1000 to my USAA account. I am transfering $1000 from my USAA saving account to my BOA checking account. This was done online with my browser, not MD.

    There are no Unconfirmed transactions.

    Hi Bob,

    The $1000 txn should have been downloaded to both accounts. To the USAA account as a debit and to the BOA account as a credit.

    I can not offer an explaination as to why the $1000 txn was never downloaded into your BOA account but you should make sure that the transfer is properly entered in Moneydance.

    Look to the transfer txn in the USAA account.

    Under the 'Category' field of that transaction, is your BOA account listed as the 'Category'?

    If there is anything other than your BOA account listed as the 'Category' of that txn then the transfer (as far as Moneydance is concearned) is not being sent to your BOA account. It is being sent to whatever Category is listed in the 'Category' field of that txn.

    It was downloaded to the USAA account fine. I have done these many times before and have not had a problem. When I tell MD to Download Transactions from BOA, it gets them, to include USAA transfers I have done in the past. I need MD to download the transaction from BOA so that it registers as a deposit. It has done this 3 times correctly in the last month and half. Why it missed the one on Dec 30, I don't know. It got the one on Dec 6, Dec 16, and Jan 13. My USAA acct in MD is fine just the way it is, I don't need to make any changes to it.

    Yes, if I assign my checking acct to the USAA transaction, it does show up in my checking account but then it is not a cleared transaction with the bank because it was not downloaded from BOA. Am I making sense?

    Bill,

    Ok, first off I'd like you to do the following

    1) Open the BoA account
    2) Go to Online Banking->Set Up Online Banking
    3) Click "Reset Sync"
    4) Download transactions for BoA

    This should sweep in the missing transaction if it's available for download. If this doesn't help, the easiest thing to do would be simply to mark the transaction as cleared in the Bank of America account. You can do so by clicking in the C column (in the problem transaction) and marking it as Cleared (the green check).

    Let me know if this helps, and if not we'll go forward from there.
